- Log In to Colibri
- Colibri Dashboard
- Create or Import Study
- Importing Data
- Select Questions to Import
- Setup initial Codeframe Codes
- Review What Data Was Loaded on Dashboard Screen

Log In to Colibri
Once you log in to Colibri as described in Sign Up and Login, you will be taken to the Colibri Dashboard, the home page of Colibri.
Colibri Dashboard
The Colibri Dashboard allows you to view all available studies, link to manage a study or begin coding it. It allows you to view pinned studies or the all studies table or search for them. It also has links to management pages for the organization. The Dashboard view depends on the type of user logged in. You can access your account or logout through the header bar.

Panels
Coder Panels
The top section of the Dashboard screen contains the Recently Accessed and My Open Studies panels for Coder users.
Admin Panels
The top section of the Dashboard screen contains the Admin Panel and other Panels that have Admin only functionality. Coder users see the Recently Accessed and Open Studies panels only.
1. Create or Import Study
Use this Create Study or Import Study links from the Admin Panel to add new studies. Use Create Study to set up a new study in Colibri or Import a study backup from Ascribe or Colibri. Data can be imported after setting up the study either way.
Construct a new study from the beginning without importing details from another system.
Fill in Study Details to Create a Study
Enter the following information for the study, then click Create Study.
Required Fields
Name | Description |
---|---|
Study ID | Unique identifier for the study |
Name | Short, descriptive label for the study |
Type | Specifies the source of the study data |
Optional Fields
Name | Description |
---|---|
Description | Detailed explanation about the study |
Client | Team/owner that has the ability to review the coding performed on the study |
Wave Number | Similar to a version number. This combined with the study id create a unique project identifier |
2. Importing Data
Let's get started loading data into a new study. Start a Data Load by clicking New Data Load in the Data Loads section of the study manager or by clicking the Load Data button on a study in the Dashboard. You can choose to import data from Logician or from a file.
Import From a File
We're goint to go through importing from a file. First you need to provide a Datafile to import. The datafile needs to contain the RID column and columns for the question responses. The datafile can be an Excel file or a txt/csv file.
Datafile
A datafile contains the raw respondent level data you wish to import. A data file must contain the RID column which represents a unique respondent identifier. Datafiles can be an Excel file or a txt/csv file.
Respondent Identifier and Question Data Columns
Name | Description |
---|---|
RID | Unique respondent identifier |
QuestionID in Column Name (1 or more) | Include as many unique question columns as needed with the question's import ID as the column name |
Select questions to import
After a data source has been selected, the next step is to select the questions that will be imported into the study in Colibri. Make sure to include all of the questions that will be used as question variables to reference or to code.
Select the questions/data that will be imported into the system. Once you are ready to continue, click on the Next button.
Question Grid
Displays the list of questions/variables that are available to bring into the coding system.
Name | Description |
---|---|
Coding Type | Type of data this response contains. OE, SOE or VAR |
Avg WC | Average words per response. |
QID | Question identifier |
Question Text | Description of the question |
Sample Data | A sample of data that is in a response |
Coding Types Explained
Name | Description | Detail |
---|---|---|
None | No Coding Type | Question will not be imported |
VAR | Variable | A question where the answers are predefined/limited |
SOE | Short Open End | Answer represents a shorter verbatim. Typically used for other specify, brand lists, etc. or questions where the list of items mentioned will be limited |
OE | Open End | Answer represents a verbatim that longer in nature and not constrained |
Note that SOE and OE are functionally the same but are provided to allow a distinction during coding, reporting, and billing.
Create codeframe groupings
Once you have choosen the data to import you need to group the questions you are going to code into codeframes. You can organize codeframes however you want but in most cases one codeframe per question will be optimal. Once you have done that click on the Next button.
How to Create Codeframes from Questions
Assigning a Question to Codeframe
Drag a question from the Question section on the left onto an existing codeframe or the "Create New Codeframe" box.
Removing a Question from a Codeframe
Click the "-" for the question in the Manage Codeframes section to unassign that question.
Note: Questions in codeframes that are already coded cannot be removed.
Removing a Codeframe
Click on the "-" on an empty codeframe in the Manage Codeframes section and the codeframe will be removed.
Note you will not be able to continue to the next screen until you can assigned all the questions to a codeframe.
Setup initial codeframe codes
Now that questions have been assigned to codeframe you have the opportunity to add preset codes to the new codeframes. Presets might be existing questions that have a list of choices or a previous codeframe code list.
You can add new preset codes in 3 ways.
- Add the codes manually one at a time using the "+" button.
- Add the codes in bulk by pasting them into a text box. The codes and nets (if any) and the full details are specified line by line in a csv format. For details, see the Bulk Code Import Dialog.
- Add the codes from an existing question in the Study Questions & Answers panel. To add question codes, drag the question from the Questions section on the left and drop it into the codeframe Codes section on the right.
To Remove codes from codeframe simple click on the "-" next to the code you would like to remove.
Edit Code List
You can edit the Code List form directly by editing the code or text fields in the list.
Review Codeframes and Finish Import
Review the Codeframes and preset codes on this screen and click Next Step to finish the import process. The import will complete in the background after the Data Importer screen closes.
3. Review What Data Was Loaded on Dashboard Screen
Once you see the respondents column for the study you just created change from 0 to the number of respondents in the study your data is loaded. Click on the Edit Study button in the Study Action Bar. If your unsure if data loaded, you can also check the Datapull Manager.
Viewing Studies
The Dashboard Studies section shows the current studies in one of three views:
Studies View | Description |
---|---|

Create a Code/Code Net
Creating a code is a simple process. There are two primary ways to create a code.
To create a code:
- Click on the create dropdown in the codeframe pane and select "Create Code" from the dropdown.
- Select part of the response text you want to create a code for and then click on create code in the window that pops up
- Right click on an existing Code or Code Net and choose the options "Create Code Above/Below" option.
To create a code net
- Click on the create dropdown in the codeframe pane and select "Create Code Net" from the dropdown.
- Right click on an existing Code or Code Net and choose the option "Create New Net above/below" option.
Reordering Codes and Nets in a Codeframe
To reorder codes or Code Nets simple click on the item you wish to move and drag it to a new position. If you drag a net all child Code Nets and Codes will move with it.
Assign a Code to a response
To apply a code to response there are a few different ways
- Drop a code on a response
- Drop a code from a previous response and drop it on the response you want to code
- Apply multiple codes to a response: Select the responses in the response panel and then right-click on the code you want to apply. From the pop-up menu, select "Apply this code to all selected responses"
Review of Coder Screen Features
Filter Codes
The simplisest way to filter codes is to type in a word or phrase in the code filter box. The code list will be automatically filtered as you type.
Filter Responses
Filtering responses can be accomplished by typing a word or phrase in the response filter box. The response list will be automatically filtered as you type.
Unlike code filtering, response filtering can be much more complex. The response header contains many options for you to apply to the visible response so you can view just the responses you want.
Files
The file windows shows you any files that an administrator has loaded. You can download and review the files from this windows.
Chatting with Other Coders
The Chat and Log window allows coders to communicate with each other as well as see any notes coders make about the current study.
Word Counts
Word counts allow you to quickly identify which words are appearing more frequntly. Once word counts are generated, this can take a while, they are displayed in a list that you can use to create codes.
What's Next?
This Quick Start Guide took us through the process of creating a study, importing data, and coding the imported respondent data. The sections highlighted here are covered in more detail in the following sections.
